Customer calls in. EAS answers, gathers the job details, and gets the info needed to log the lead.
EAS enters the lead into GoHighLevel. This one entry is what sets everything else in motion — nothing downstream needs to be re-typed anywhere else.
GHL automatically creates the CompanyCam project and logs the job in Google Sheets. This happens on its own the moment the lead is entered — nobody does this by hand, and nobody should try to.
GHL automatically assigns the opportunity — and the tasks that come with it — to the Lead Estimator/Sales role. No manual hand-off needed at this step.
This is the gap. Stone hasn't built out the actual estimate process yet — how the appointment runs, what gets quoted, how it closes. This step holds the spot until that's defined.
Once the job is sold, the Lead Estimator assigns a "follower" on the opportunity — the crew that's going to run the job.
The job gets scheduled and the crew is dispatched to the site.
Before anyone touches a ladder — confirm scope, walk the property, check for hazards.
Walk the finished work, confirm it's actually done — not just stopped — and document it.
Crew hands the device to the customer to confirm they're happy with the work, right there on site — signature included. If they're clearly thrilled, don't wait for the follow-up call — send the Google review link right then through the GHL app while you're standing there.
Someone calls the customer back after the job to see how it actually went — not a checklist item, a real conversation. Stone still needs to define who owns this call.
If the follow-up call goes well, ask for a Google review right there. Text the review link through GHL while they're still on the phone — no separate follow-up needed.
Thank them, then just ask: know anyone else we could help? No hard pitch — just open the door while they're already feeling good about the job.
If the customer calls back on a completed job — this is where it's handled and documented.
